Section-Leaders (appointed):

  1. Serve as Mini-Choir-Directors… like Police, they preserve the good of the group (section/choir) BOTH by enforcing individual accountability AND helping those in need of assistance.
  2. Responsible for their section as a whole, and each individual within it, to be Prepared, Engaged, Musical, Noticed, Valued…
  3. Should sit in center (or rear-center) of their respective section… can swap seats as necessary at their discretion (without permission) to help someone in section at any time… can also change the seat assignments for the DAY of any / all members of their section
  4. Actively check in with each member of their section each day.  Offer help any time they think it MIGHT be necessary or wanted.  Offer encouragement and constructive feedback
  5. Encourage individual accountability from section members by helping, but only when convinced the student is already doing all that he/she can – if he/she is not, then inform Choir Director and instruct him/her to get it together
  6. Conduct occasional section-meetings during choir rehearsal at designated time – check in with EACH member, discussing what they need, how they’re doing, etc.
  7. Observe their section-members during rehearsal.This includes not just posture, conduct, focus, energy, etc. but also marking of music
  8. When asked, observe members of another section (probably one across the room from you) in the same fashion
  9. Report to Choir Director weekly (or daily, if preferred) preferably through email, any delinquencies (rules, focus, engagement, preparedness, etc.), any noticed deficiencies/needs for help, any noticed improvement, any noticed outstanding performance, etc.
  10. Communicate with other Section Leaders regarding observations they happen to make of choir members in that person’s section.
  11. Cover for each other (especially co-sections) in cases of absence
  12. Maintain and adjust chair set-up within their section
  13. Direct / lead sectional rehearsals when they occur (usually in pairs, such as S1 & S2)
  14. Attend Choir Board lunch meetings, representing their section (like a Senator)
  15. Serve as an example / role-model at all times to all choir members


Choral Assitant (appointed):

  1. Assistant to the Director in musical capacities (not in administrative ways that are covered by elected officers, etc.)
  2. Administrative assistant and student-leader for Chorale
  3. Head Section-Leader for Chamber Choir, overseeing and assisting all sections
  4. Help lead in rehearsal when necessary, such as with vocalization
  5. Serves as student conductor for Chorale, and potentially Chamber Choir as invited, potentially teaching portions of lessons and/or leading in rehearsal
  6. Actively checks in with each section leader to offer support / assistance
  7. Encourages individual accountability from each choir member by helping, but only when convinced the student is already doing all that he/she can – if he/she is not, then informs Choir Director and instructs him/her to get it together
  8. When asked, observes members of any section 
  9. Communicates with Choir Director any concerns, ideas, etc.
  10. Communicates with other Section Leaders regarding observations they happen to make of choir members in that person’s section.

  13. Attends Choir Board lunch meetings
  14. Serves as an example / role-model at all times to all choir members


President(s):

  1. Chief Administrators, serve as direct assistant to Choir Director in organizational / systemic matters, checking in regularly with him
  2. Oversee decision-making process and assume authority to make final decision
  3. Responsible for all daily organizational/administrative duties that arise that are not designated responsibilities of anyone else.Can delegate these.
  4. Responsible for organizing / delegating all choir activities, especially including Halloween concert fundraiser, choir awards, elections, etc.  This includes issues such as tickets, programs, publicity, refreshments, decorations, costumes, props, stage-management, enlistment of parental support, etc.
  5. Fulfill responsibilities (or designate someone else to) of any/all absent officers… especially the roll-taking responsibility of the Secretary
  6. As the elected peer-leaders of the choir, make announcements, speak up during rehearsal whenever they feel it necessary, etc.
  7. Quest for creative ways to improve choir and work to implement those ideas
  8. Attend and lead (with Choir Director) Choir Board lunch meetings and occasional Executive Board meetings
  9. Serve as an example / role-model at all times to all choir members

 

Vice-President:

  1. Assists President(s) in any/all ways necessary, filling in as necessary in their absence
  2. Contributes in decision-making process on all matters
  3. Fulfills responsibilities (or designate someone else to) of any/all absent officers… especially the roll-taking responsibility of the Secretary
  4. As a peer-leader of the choir, makes announcements, speak up during rehearsal whenever he/she feels it necessary, etc.
  5. Quests for creative ways to improve choir and work to implement those ideas
  6. Attends Choir Board lunch meetings and occasional Executive Board meetings
  7. Serves as an example / role-model at all times to all choir members

 

Treasurers:

  1. Oversee all money-related issues, maintaining records and reporting to both Choir Director and HSN Financial Secretary (Ms. Swern)
  2. Continually manage Water sales (stocking, collecting, etc.)
  3. Organize and/or manage all other fundraisers (Cheesecakes, etc.), collecting and counting funds, cross-checking against forms, assisting with prizes, updating spreadsheets of individual student account records, etc.
  4. Suggest, design, and/or manage new fundraising efforts, planning specifically for anticipated expenditures (concert venues, busses, instrumentalists, purchases, etc.)
  5. Manage financial end of ticket sales and refreshment sales for all concerts that aren’t free.
  6. Assist President, Vice-President, and other Board officers as necessary
  7. Attend Choir Board lunch meetings and occasional Executive Board meetings, and report/update on financial issues
  8. Serve as an example / role-model at all times to all choir members


Secretaries:

  1. Record and submit to Choir Director daily attendance in detail (marking excused and unexcused tardies, absences, known field-trips, excessive time out of classroom, etc.)
  2. Record attendance at all performances, extra rehearsals, on field trips, etc. (and/or delegates other students to assist in doing so)
  3. Make copies and assist Director with all paperwork and/or electronic data management
  4. Take minutes / notes at all meetings and email them to Director and Board members
  5. Make and keep track of all lists (sign-ups to bring items / help with things, casting for Knight Of..., etc.)
  6. Assist Librarians in organizing folder system and numbering all distributed music and materials (permission slips, etc.)
  7. Assist Librarian in collecting, alphabetizing (by folder number), and returning music and materials
  8. Assist Librarian in organizing and maintaining choral music library
  9. Assist President, Vice-President, and other Board officers as necessary
  10. Attend Choir Board lunch meetings and occasional Executive Board meetings
  11. Serve as an example / role-model at all times to all choir members

 

Room Management:

  1. Organize and maintain the space in which we rehearse, including chairs, charts, wall hangings, etc.
  2. Delegate students to help with setting of chairs (primarily, Section Leaders) and reminds anyone necessary to properly care for our space, reporting to Director when necessary
  3. Assists Director with regard to seating charts, lab charts, and other displays
  4. Maintain a “lost & found” area, attempts to return items left behind to their owners, and removes said items when necessary
  5. Quest for creative ways to improve room layout, cleanliness, organization, etc. and work to implement those ideas
  6. Assist President, Vice-President, and other Board officers as necessary
  7. Elected Room Manager attends bi-weekly Choir Board lunch meetings and occasional Executive Board meetings, and reports/updates on room issues
  8. Serve as an example / role-model at all times to all choir members


Librarians:

  1. Organize folder system, and number all distributed music and related materials (permission slips, etc.)
  2. Collect, alphabetize (by folder number), and return music and related materials
  3. Organize and maintain the continually-updated choral music library (stored in the music office)
  4. Assist President, Vice-President, and other Board officers as necessary
  5. Attend bi-weekly Choir Board lunch meetings and occasional Executive Board meetings
  6. Serve as an example / role-model at all times to all choir members

 

Internal Communications:

  1. Responsible for making sure every individual choir member is "in the loop" and receives announcements, can pose questions / voice concerns / etc.
  2. Organize and administrate the choir Facebook groups, posting announcements, reminders, etc. as needed
  3. Ensure that anyone who chooses not to join the Facebook group still receives communications through their preferred method
  4. Assist Director with Google Classroom, Remind, and/or any other communication methods
  5. Maintain awareness of all announcements and other communications from Director, Officers, etc.
  6. Assist President, Vice-President, and other Board officers as necessary
  7. Chair attends Choir Board lunch meetings and occasional Executive Board meetings and reports on communication issues
  8. Serve as an example / role-model at all times to all choir members


Public Relations:

  1. Responsible for advertising to and communicating with the public
  2. Delegates, oversees, and carries out production / posting of flyers, sandwich boards, electronic messages, social media outreach, district website posts, mass emails, etc.
  3. Especially takes the reigns about 2-3 weeks before each concert / fundraiser / event that needs to be publicized.
  4. Creatively seeks new / improved ways to reach the community
  5. Assist President, Vice-President, and other Board officers as necessary
  6. Chair attends bi-weekly Choir Board lunch meetings and occasional Executive Board meetings, and reports/updates on PR issues
  7. Serve as an example / role-model at all times to all choir members

 

Knight Of... Committee:

  1. Manage (organize, plan, delegate, oversee, problem-solve, etc.) the annual dinner-theater event.  This starts many months in advance.
  2. Communicate and meet with Director, team (each other), volunteer parent leaders, and general choir membership regarding theme, programming, etc.
  3. While parents take charge of decor, food service, etc., KO committee plans auditions, selects and organizes program, organizes student jobs, advertises (coordinated with PR committee), takes reservations, plans lighting, sound, stage set-up, etc., oversees costumes & props, and more.
  4. Keep notes for reflection afterward, aimed at improving the process and results for the next year
  5. Assist President, Vice-President, and other Board officers as necessary
  6. Chair attends bi-weekly Choir Board lunch meetings and occasional Executive Board meetings, and reports/updates on dinner-theater issues
  7. Serve as an example / role-model at all times to all choir members

 

Historians:

  1. Continually collect artifacts of current and recent choir activities, including posters, programs, etc.
  2. Take (or delegate taking of) photos and video at performances / events, and at other times as decided
  3. Organize, display, store, share, etc. both present and past artifacts in creative ways (in the choir room, elsewhere in the building, online, etc.)
  4. Pursue photos, videos, artifacts, etc. from other sources (parents, etc.)
  5. When pertinent or beneficial, present/share history of our choir/program, of our repertoire, or of anything related with general choir membership
  6. Serve as an example / role-model at all times to all choir members


Wardrobe Managers:

  1. Organize, label, and keep track of all distributed uniform & wardrobe items (primarily, concert dresses and tux jackets, but also including bow ties when necessary, as well as costume items for “Operapella,” etc.)
  2. Assist all choir members in obtaining, exchanging, and returning said items.
  3. Organize and maintain storage areas of said items (mainly in rear of music storage room to the left of the choir room)
  4. Plan and assign costume elements (and helps with props, as well) for Knight Of..., etc.
  5. Assist President, Vice-President, and other Board officers as necessary
  6. Attend bi-weekly Choir Board lunch meetings and occasional Executive Board meetings, and reports/updates on financial issues
  7. Serves as an example / role-model at all times to all choir members

.

Ensemble Morale:

  1. Keep a pulse on the collective morale of each choir
  2. Maintain awareness of smaller, more localized conflict, tension, frustration, anxiety, or other potential hazards
  3. Report concerns to Director, section leaders, etc. as necessary
  4. Suggest and implement creative ideas to boost morale, promote unity, lighten moods, improve attitudes, etc.
  5. Serves as an example / role-model at all times to all choir members
